The Studio HQ Group Fitness Terms and Conditions

By purchasing a membership, booking or attending a class at The Studio HQ, you acknowledge that you have read and accept our Terms and Conditions as described below:

Membership Costs and Inclusions Table

Start Date & Billing

Core Memberships

From the date you chose to start your Membership, the cost as outlined in the Membership Costs and Inclusions Table above (plus any third-party transaction charges) will be direct debited fortnightly from the original payment option provided.

Annual Membership

From the date you choose to start your Membership, the cost as outlined in the Membership Costs and Inclusions Table above (plus any third-party transaction charges) will be charged as a one-off payment from the original payment option provided.

Packs and Casual Visits

On your purchase date the cost as outlined in the Membership Costs and Inclusions Table above (plus any third-party transaction charges) will be charged as a one-off payment from the original payment option provided.

Membership Inclusions

Your membership payment provides access to the number of small group fitness classes per week included under your specific membership type as outlined in the Membership Costs and Inclusions Table above. You are free to book classes at any of the small group Studio locations. The booking week runs from Monday to Sunday. All memberships are valid for all small group fitness class types on the Regular Timetable only, unless otherwise indicated.Your weekly class inclusions are unable to be rolled forward or transferred into the following week. Your membership is non transferable and unable to be shared.

Additional Classes

Classes may be booked in addition to the classes available under your membership during any week and will automatically be reconciled to the original payment option provided at the rate as outlined in the Membership Costs and Inclusions Table above.

Membership Cancellation

Core Memberships

If you wish to cancel your core membership, you can do so at any time by completing the online Membership Cancellation Form. All cancellation requests must be received in writing and we require a minimum of 1 week to process your cancellation.

Annual Membership

You are not able to return, cancel, suspend, extend, share or transfer your Annual Membership.  Once purchased, Annual Memberships are non refundable and run for 1 calendar year from the date of purchase.

Packs & Casual Visits

You are not able to return, cancel, suspend, extend, share or transfer your Pack or Casual Visit.  Once purchased, packs and casual visits are not refundable.

Membership Renewal & Pack Validity

Core Memberships

Your Membership runs in perpetuity and will automatically renew every 12 months on the anniversary of your membership start date. You will need to advise the Studio HQ that you wish to terminate your membership in writing via our online Membership Cancellation Form before any action will be taken.

Annual Membership

Your Membership will end 1 year or 365 calendar days from your membership Start Date.

Packs & Casual Visits

Packs are valid for 1 year or 365 calendar days from the date of purchase.Casual Visits are valid for 1 month or 30 days from the date of purchase.

Membership Suspension

Core Memberships

Your membership may be suspended for a total of 6 weeks per membership year in a minimum of fortnightly (2 week) increments. Additional suspensions will incur a single $15.00 administration charge per suspension, charged to the original payment option provided. To suspend your membership, please complete our Membership Suspension Form 2 weeks prior to your suspension start date. We will only process suspensions submitted in writing and with adequate notice. Exceptional circumstances* may be taken into consideration in the application of charges at the sole discretion of The Studio HQ.

Annual Membership

Annual Memberships cannot be suspended, extended, shared or transferred. Exceptional circumstances* may be taken into consideration in the application of charges at the sole discretion of The Studio HQ.

Packs & Casual Visits

Packs & Casual Visits cannot be suspended, extended, shared or transferred.

Failed Payments

If a payment is unsuccessful against the payment option you provided, You will be charged any associated third party charges in relation to that payment failure on top of the original amount, and a $7.50 administration charge.

Class Cancellations

Core Memberships

If you cancel a booked class outside of 12 hours of the class start time, you will not be charged a cancellation charge and will not lose the class from your weekly inclusion because you have allowed enough time for another member to utilise the spot.If you cancel a booked class within 12 hours of the class start time (late cancel) you will lose the class from your weekly inclusion and be charged a $15 late cancellation charge to your payment option provided for preventing other members from being able to book and attend the class.If you fail to attend without cancelling a booked class a $15.00 no-show charge will be charged to your payment option provided for preventing other members from being able to book or attend the class. The class will be deducted from your weekly inclusion.Any late cancel and no-show charges are in addition to any other charges in relation to your membership. Exceptional circumstances* may be taken into consideration in the application of charges at the sole discretion of The Studio HQ.

Packs and Casual Visits

If you cancel a booked class outside of 12 hours of the class start time, you will not be charged for the class and the class will not be deducted from the balance of your pack or casual visit because you have allowed enough time for another member to book into your spot.If you cancel a booked class within 12 hours of the class start time you will forfeit the class as you will have prevented other members from being able to book or attend the class.If you fail to attend a booked class, you will forfeit the class as you will have prevented other members from being able to book or attend the class. Reformer Pilates ExperienceUnless you have prior reformer Pilates experience, an Orientation Class or Private Orientation Session must be completed to safely attend group reformer Pilates classes.  We care about your safety and well-being and you may not be granted access to reformer Pilates classes under the Membership until you complete an Orientation Class or session. Please get in touch for Orientation Class or Private Orientation Session times.*Exceptional circumstances means:(a) You’re medically unfit to attend the booked class due to illness or injury, as determined by a qualified medical practitioner and as evidenced by a medical certificate or equivalent documentation;(b) You’re unable to attend the booked class due to a natural disaster or emergency as defined by the State Emergency Services or equivalent authority.
